Centre of Influence Manager - User Guide

Overview

The Centre of Influence (COI) Manager helps you track and manage your professional relationships with key contacts who can refer business to you. This includes accountants, lawyers, real estate agents, and other professionals in your network.

Getting Started

1. Select Your Name

  • Use the dropdown at the top of the page to select your name

  • This will load all your existing COIs and allow you to add new ones

Managing Your COIs

Adding a New COI

  1. Click on the "Add/Edit COI" tab (should be active by default)

  2. Fill in the required information:

    • First Name and Last Name (required)

    • Company - Where they work

    • Relationship Type - e.g., Accountant, Lawyer, Real Estate Agent

    • Phone Number - Will become a clickable link

    • Email Address - Will become a clickable link

    • Contact Frequency - How often you want to touch base (in days, default 90)

    • Where You Met - Networking event, referral, etc.

    • Introduced By - Who introduced you

    • LinkedIn/Facebook URLs - Their social media profiles

  3. Click "Add Centre of Influence"

Editing an Existing COI

  1. Find the COI in the table on the left

  2. Click the "Edit" button in the Actions column

  3. The form will populate with their current information

  4. Make your changes and click "Update Centre of Influence"

  5. Click "Cancel" to return to add mode without saving

Deleting a COI

  1. Find the COI in the table

  2. Click the "Delete" button

  3. Confirm the deletion when prompted

  4. Warning: This will permanently remove the COI and all meeting history

Logging Meetings

Recording a Meeting

  1. Click the "Log Meeting" tab

  2. Select the COI you met with from the dropdown

  3. Enter the Meeting Date

  4. Add any Meeting Notes (optional but recommended)

  5. Click "Log Meeting"

Quick Meeting Logging

  • Click the "Meet" button next to any COI in the table

  • This will automatically switch to the meeting tab with that COI pre-selected

Understanding the COI List

Table Columns

  • Name - COI's full name

  • Company - Their workplace

  • Type - Relationship type (Accountant, Lawyer, etc.)

  • Phone - Clickable phone number (opens dialer)

  • Email - Clickable email address (opens email client)

  • Last Contact - Date of your most recent logged meeting

  • Days Since - How many days since last contact

  • Status - Current contact status (see below)

  • Actions - Meet, Edit, Delete buttons

Contact Status System

The system automatically tracks when you should reconnect with each COI:

đŸŸĸ On Track (Green)

  • You've contacted them recently

  • No action needed

🟡 Due Soon (Orange background)

  • You're approaching 80% of your contact frequency

  • Consider scheduling a catch-up soon

🔴 Overdue (Red background)

  • You've exceeded your target contact frequency

  • Priority contact - reach out ASAP

Smart Sorting

The COI list automatically sorts by priority:

  1. Overdue contacts (red) appear first

  2. Due soon contacts (orange) appear next

  3. On track contacts (green) appear last

Mobile Usage

Responsive Design

  • The app works on all devices (desktop, tablet, mobile)

  • On mobile, the form moves below the table

  • Tables scroll horizontally on small screens

  • Buttons are optimized for touch

Mobile-Specific Features

  • Tab buttons stack vertically on mobile

  • Action buttons are condensed but remain fully functional

  • Text is sized appropriately for mobile reading

  • Touch targets are optimized for fingers

Best Practices

Setting Contact Frequencies

  • Accountants/Lawyers: 60-90 days

  • Real Estate Agents: 30-60 days

  • Financial Planners: 90-120 days

  • Casual Contacts: 180+ days

Meeting Notes Tips

  • Record key discussion points

  • Note any referrals given or received

  • Track their business updates

  • Record personal details (family, hobbies, etc.)

  • Note follow-up actions required

Maintaining Your Network

  1. Regular Review: Check your COI list weekly

  2. Prioritize Overdue: Always contact overdue COIs first

  3. Be Consistent: Stick to your contact frequencies

  4. Add Value: Always provide value in your interactions

  5. Update Information: Keep contact details current

Troubleshooting

Common Issues

  • Dropdowns not loading: Refresh the page

  • Can't see your COIs: Make sure you've selected your name

  • Mobile display issues: Try rotating your device or refreshing
